Data protection

Homes for Haringey holds personal information about both its clients and its employees. The information is held for a number of reasons but mainly to ensure that we provide people with efficient and effective services. All the information we hold is protected under the Data Protection Act 1998.

What is the Data Protection Act 1998?

The Data Protection Act is the legal framework that ensures personal information is used fairly and lawfully.

By law, all organisations that hold such information must follow the eight principles set out in the Act. These principles make sure people’s rights are protected and state that all information must:

  • Be processed fairly and lawfully and only if certain conditions are met.
  • Be obtained for specified and lawful purposes.
  • Be adequate, relevant and not excessive.
  • Be accurate and where necessary kept up to date.
  • Not be kept any longer than necessary.
  • Be processed in accordance with the rights of data subjects.
  • Be kept secure.
  • Not be transferred abroad, unless to countries with adequate data protection laws.

Homes for Haringey aims to meet all our responsibilities under the Data Protection Act 1998 (the DPA). We will make sure that we tell the Information Commissioner about all our data-processing activities that are covered by the act. We will hold your personal information in confidence and treat it with all due care.

We try to make sure that the information we hold about you is accurate and up to date, but if you find any mistakes you have the right to have them corrected.

Why we collect information about our customers

We collect information on all our customers so that we can carry out our legal responsibilities. Because we are a social landlord we also provide other kinds of support and we need information to help us do this. We will only use your information for the reasons it was collected. This includes our present services and any new services we provide in the future. If we ever need to use your information for reasons not connected with social housing we will ask you first.

Some of our services are carried out by contractors and partners. We do pass your information on to these organisations but only so that they can carry out work on our behalf. We will usually provide only your name, address and contact details but in some cases they will need to know something else about you. For example, we sometimes tell them if a customer has a disability or cannot read English but we will not tell them more than they need to know.

  • We do tell utility companies who is living in our properties but that is all.
  • We do sometimes employ debt collection agents to recover money owed.
  • We must give information to agencies who are investigating crime or fraud (but we are careful to give them only what is needed).

If you give us telephone numbers, email addresses or any other contact details we will share these with our contractors and partners when necessary. This includes the phone numbers of your friends and relatives if you have told us this is how you us to contact you.

Collecting equality information

This is when we ask for information from our customers about their ethnicity, age, and religion. We collect this kind of information because we are legally required to show that we provide services fairly and without discrimination. As a social landlord we try to tailor our services to meet the needs of everyone in Haringey and make sure no one is left out. Our equality and diversity data helps us achieve this, and we only use it for statistical purposes. No one can be singled out because of the information they have provided.
